ADMINISTRATIVE ASSISTANT
JOB SUMMARY
This part-time position will provide support to a team of employees at Las Palmas Housing a Real Estate Development Corporation specializing in multifamily affordable housing based in Encinitas (North San Diego County), California.
RESPONSIBILITES
- Provide administrative/clerical support to management team including answer telephones and correspondence creation.
- Maintain and update accurate and organized project files, including an operational checklist which lists properties, documents and compliance reports.
- Assist in preparing and assembling grant, state and federal housing applications.
- Research issues and compile information.
- Generate internal and external reports and spreadsheets accurately, meet deadlines.
- Identify, research and resolve potential problems. Proactively provide solutions.
- Ensure that follow-up and remedial actions are executed as necessary.
- Perform other duties and responsibilities as assigned.
QUALIFICATIONS
- 1 year of office or administrative assistance or related experience
- Strong computer literacy with proficiency in MS Word, Excel, Outlook, PowerPoint and the internet.
- Attention to detail and accuracy.
- Excellent communication skills, both oral and written.
- Ability to convey information clearly and effectively through both formal and informal documents.
- Ability to organize, manage and track multiple detailed tasks and assignments with frequently changing priorities in a fast paced work environment; while maintaining accuracy to ensure quality standards are met without impairing workflow.
- Diligent follow-up to ensure problem resolution and completion of tasks.
- Proactively demonstrate readiness and ability to initiate action.
- A self-starter with the ability to work in a relatively independent environment, as well as collaboratively within a team environment.
- Identify required tasks, develop timelines and execute.
- Project a positive, professional image both with internal and external business contacts.
- Possess a valid California driver’s license, acceptable driving record and current comprehensive auto insurance, including liability.
- Knowledge of concepts, principles and practices of affordable housing and the real estate industry, a plus.
- Bachelor’s degree, preferred.
